  • Cost: Starter is $95/month plus 1.5%, up to 100 orders. Pro is $249/month plus 1.35% with unlimited orders. Annual billing is also listed.
  • Tradeoff: the headline “no startup fees” applies to the platform; its optional website has a $299 setup charge and hosting costs. SMS also adds costs. Ask who pays each fee.

Sprwt

For meal prep alongside wider business operations.

  • Strengths: recipe, cooking and fulfilment tools, with staff tools on Bloom and retail/proposal capabilities higher in the range.
  • Setup: a demo followed by guided onboarding. Its FAQ lists support and training, but no standard free trial.
  • Cost: monthly plans list Sprout at $250, Bloom at $500 and Orchard at $950. Sprout lists a 1.5% platform fee; annual rates differ.
  • Tradeoff: check ordering-mode limits and add-ons. The FAQ also lists a possible customer service charge of up to $1.75 per transaction. Delivery route planning uses the separate Root Planner integration; confirm its cost.

Bottle

For customer messaging and repeat ordering.

  • Strengths: subscriptions, text-based reordering, customer lists and automated reminders sit alongside production, labels and packing tools.
  • Setup: demo first, then guided onboarding and a trial. Bottle describes data imports, migration help, tutorials and community strategy calls.
  • Cost: its features FAQ publishes a monthly fee starting at $19 plus a 1.9% transaction fee, with no upfront setup fee.
  • Tradeoff: “from $19” is a starting point, not a complete quote. Confirm your plan, messaging and payment costs, then ask to see the exact ingredient and production outputs your kitchen needs.

Flambia

For personalised daily meals on a prepaid plan.

  • Strengths: calorie-based ordering, prepaid balances, menu planning and production paperwork. It also describes several brands sharing a kitchen and dish library.
  • Setup: a founder-led fit call, with implementation and staff training scoped around the rollout.
  • Cost: individually quoted. The separately advertised $197 Playbook is an educational product, not the software price.
  • Tradeoff: its courier output is a delivery handoff report, not route optimisation. Its own comparison flags extra work outside Poland; the product page describes Polish-first search features. Confirm language, payments and local requirements.

  • Cost: quoted to your needs and budget. The custom-build model has no MDS software licence fee; hosting, payments, messaging and any agreed ongoing help still need to be budgeted.
  • Tradeoff: a tailored engagement needs a clear scope and implementation plan. Agree the features, responsibilities, handover, timing and support before starting; this is not an instant self-serve subscription.

What should meal prep software actually handle?

Ask each provider to walk through one of your busiest weeks. Use these five checks during the demo.

  1. One changed order. Swap a meal before cutoff. Check that the kitchen total, label and packing list all update together.
  2. One paused subscription. Skip a week and change a delivery date. Check what the customer can do and what still needs your help.
  3. One failed payment. Find the unpaid order and show whether it reaches the cook list. Then retry or cancel it and follow the change through.
  4. One delivery exception. Change an address, add access instructions and move an order to pickup. Check what reaches the driver.
  5. One team handover. Have a staff member find the final cook, pack and delivery lists. Identify every step that still depends on you.

These are buying checks, not claims that every provider handles each case the same way.

Compare the full cost, not just the monthly fee

  • Recurring costs: software, payment processing, platform fees, messages, routing and extra locations.
  • Getting started: website work, data migration, menu entry, staff training and your time.
  • At your volume: request the total at today’s sales and at the volume you are aiming for. Check who pays fees passed to customers.
  • After launch: agree support hours, response expectations, change costs and how you can export your data.

A simple fee example

At $20,000 in monthly sales, a 1.5% platform fee is $300; 1.9% is $380. That is $80 a month apart before fixed fees, payment processing or extras.

How to choose the right fit

  • Name the problem first. More subscriptions, fewer packing errors and less owner admin may need different changes. Pick the work you need taken off your hands.
  • Keep what already works. Ask whether your website, payment setup and delivery tools can stay. A full replacement is not always necessary.
  • Plan the first production week. Agree who checks migrated customers, active subscriptions, cutoffs and kitchen outputs before you depend on the new setup. If you are starting out, use the first-week meal prep plan.
  • Choose the kind of help you need. Product support, guided onboarding and someone implementing operational changes are different services. Get the responsibilities in writing.
